RFP Software Pricing: TenderOS Plans and Limits
RFP software pricing, stated in full. The free analyzer is a preview, not a cut-down product: it proves the extraction is real on your own document, and the work itself happens in a paid workspace. Every included limit is on this page — you should not have to book a call to find out what you are buying.
Choosing a plan creates your workspace first, then takes you to Stripe. That order is deliberate: the subscription attaches to your organisation, so your team and your data are already in place when the payment clears.

- Case study and certification matching
- Six user roles enforced server-side, with one-time invite links
- Approval separated from editing, so nobody signs off their own evidence
- Response version history — a redraft never destroys what someone wrote
- Comments per requirement, flagged to a colleague by name, with resolve and reopen
- Branded exports: your submission name, heading colour and footer on every Word and PDF document
- Addendum detection: reworded requirements flagged with their previous wording, and every response written to the old wording marked out of date
- Bid fit: what is blocking a compliant submission, counted from your own evidence — never a predicted chance of winning
- Audit logs
- API access
Bid departments, high-volume contractors and enterprise vendors.
Start with Pro- Everything in Business
- Highest workspace, page and seat allowances
- Audit logging on every material action
- API access with read-only or read-write keys, revocable and scoped to your organisation
- Retention policy: delete tenders a set time after they were last touched, off by default and logged when it runs
Enterprise
Priced by annual contract and scoped to the requirement: custom volumes and seat counts, single sign-on, regional data storage, custom retention periods, enhanced audit logging and data processing terms negotiated against ICO guidance on the UK GDPR. We do not list enterprise capabilities that are not built yet, so the conversation starts from what actually exists.
What you are actually paying for
Four meters, all visible in your usage dashboard. No hidden throttling, no surprise overage.
Tender workspaces
One workspace per opportunity you are actively running. It holds the documents, requirements, matrix, evidence links, responses, tasks and exports for that bid.
Processed pages
Pages that go through extraction. Cached by document hash, so reprocessing the same file does not consume the allowance twice.
Users
Named seats with roles: owner, admin, bid manager, contributor, reviewer, viewer. Additional seats can be added to any team plan.
Company Brain storage
Space for your organisational knowledge — profiles, certificates, case studies, CVs, policies and previously approved responses.
